Guidelines concerning entry to the Graduate School of Mathematical Sciences building

To all students, graduate students and postdoctoral researchers

In case the situation on Komaba campus is designated "STAGE RED", you are no longer allowed to enter the mathematics building.

In case the situation on Komaba campus is designated "STAGE ORANGE", you are requested to study and work at home.

However, in the following three instances it is possible to receive permission to enter the mathematics building:

- students who have to collect belongings in their office/room, but only for short periods and only a limited number of times

- researchers, for tasks that cannot be performed without being in the mathematics building

- students or researchers who, for exceptional reasons, have received special permission from their supervisor or host to enter Komaba campus for a short time span

For security reasons however, entry to the building is forbidden at night (between 8:00PM and 8:00AM) and during weekends or holidays.

If you feel the above reasons apply to you or if there are any other exceptional circumstances, please submit a written request to your supervisor or host (by email) who will then, on your behalf, ask the Dean to grant permission.

Note that the library will remain closed for the foreseeable future but that it has started lending books by mail and is accepting requests for copies of certain library items. Please contact the library staff by email or telephone directly. Information on the accessibility of ebooks or journals can be found here.

In case the situation on Komaba campus is designated "STAGE YELLOW",

restrictions on on-campus activities will be gradually lifted but, for the time being, the restrictions that were applied for stage orange will remain in place. However, with the express permission of your advisor, host or of the head of the Mathematics Department of the Faculty of Sciences, it is possible to enter the mathematics building for short periods of time. Before entering Komaba Campus you will need to submit a valid reason, by email, to your host or advisor (or, in the case of third year students who do not have an advisor, to the head of the Mathematics Department of the Faculty of Sciences), who may then grant permission for you to enter.

For security reasons however, entry to the building is forbidden at night (between 8:00PM and 8:00AM) and during weekends or holidays. Also, even with permission of your host or advisor, you can only use your room or office in the mathematics building for 2 hours each day.

You can use your office/room under the following restrictions:

- when using the office/room you must, at all times, leave the door and windows open

- you can only use your office/ room if you can keep a distance of at least 2 meters between you and the other occupants

- in principle you are required to wear a mask

Explanatory note

In general, in order to avoid contamination clusters from forming, please practice the following:

- Aerate: if possible, open windows (or doors) on opposite sides of the room and aerate the room as much as possible; however, please bear in mind that it is yet unclear what level of aeration is sufficient to avoid contamination.

- Reduce crowd density: when assembling in a crowd, make sure that there is enough room to be able to respect a distance of at least 2 meters between attendees.

- Refrain from speaking, shouting or singing at short distance: avoid places where people around you speak, sing or shout at short distance. If you have to talk to someone at close distance, please protect yourself and others by following proper sneezing and coughing etiquette and by wearing a mask.
